Grade Entry - Official Transcripts?

Recommended Posts

Hey all,

Just concerned that I've come into a bit of a bind. Finally getting around to doing grade entry (having left the rote stuff for last), and I find this instruction in the Application Manual:

"Course grades must be entered in the same order as they appear on the front of the official transcripts, not on the student copy."

It is far too late now to order an official transcript for myself - all I can access is a student copy online that boldly states that it is not an official transcript...

Has anyone else run into a similar problem? Any advice on what to do? I was thinking of calling my Registrar's Office and seeing if they can just tell me what order grades are usually put into on the official transcripts, perhaps I could wing it then...

Also, another quick question (while we're here...) When entering your year-long terms in the transcript section, how important is it to be able to exactly identify the start and end dates? How do people find this information from four years past?

Thanks everybody!

Luckily, the Digital Copy of your transcript matches the Official Transcripts you'd receive via mail... the primary difference is that the Official Transcript arrives in a sealed envelope with your school's stamp (security features)... therefore, you may use your Digital Copy to fill the Transcript section of the application.

As for your second question, I think dates are approximate. For example, I stated for my years as September 1st/2012 to April 30th/2013.

This isn't necessarily true for every institution, and I know it isn't for my school for example (McMaster). I would recommend calling your Registrars office tomorrow to see if they could provide you with the order list over the phone to simply confirm that it is as it appears online.

Good luck!

Thank you both for your wisdom in my time of need!

I called my Registrar's Office (for York University, if that helps anybody else...) and they confirmed that the "List of Courses and Grades" that I can access online is the exact same as an official transcript.

Phew!

Hey sorry for the silly question, but do you enter your letter grades (A, A-, etc.) or percentage grades?

I ask because sometimes institutions have different rules concerning A+ or As. For example, sometimes A+ is awarded to the top 4% of the class, other times, never, and still other times, if you get above a certain threshold/mark. So if you're just entering letter grades, that may entail that students don't get evaluated "fairly" or in the same way, as different institutions issue As or A+s differently? Does this make sense?

Thanks CrazyMedMom! Interesting - so you entered letter grades (i.e. A was a 4.0, whether it was a 92% or a 90%?).

You mean this was as opposed to entering percentages right? So you have a choice in doing either.

Well how would they "calculate" percentages then? Like you'd enter your marks as percentages... then do they take the average of that, and then "convert" it into a letter grade? Ex. all your percent final marks of your semester end up being 85. They or you "convert" this to an A- or something?

Does my question make sense??!!
